Purpose of job

The Head of Facilities will lead and manage the Central Operations teams following the Firm’s decision to transfer the Facilities function in-house. The Head of Facilities will tackle the current and future challenges in a growing, diverse and full-service law-firm; navigating this period of change and implementing an operating model aligned to the business needs, as well as a culture of operational excellence.

You will be responsible for the teams’ day to day management; task allocation, utilisation and project management to ensure an efficient and cost-effective premises management & office administration service to the firm’s internal clients.

                                                   

Responsibilities

Main duties and responsibilities will include:

 

  • Managing and coordinating the central operations teams, providing coaching and guidance to ensure departmental objectives are met
  • Management of the day to day operation of the department to ensure the premises are maintained and services are provided in a proactive and cost-effective manner
  • Regularly reviewing individual workflow and capacity, with team leads as required, and ensuring team members have appropriate workload in line with their capability
  • Responsibility for department budget preparation and monitoring
  • Acting as the first point of contact for the firm’s key external suppliers and contractors, to include the office’s managing agents, security and cleaning services, and the firm’s in-house catering partners
  • Ensuring the immediate resolution of operational issues or complaints, working with team leads as appropriate, and ensuring that corrective long-term action has been taken
  • Coordinating the communication of the central operations teams and any alterations or disruptions to services
  • Managing the Maintenance Engineer and overseeing the on-going assessment of the premises and equipment i.e. redecoration, furniture, carpets, lighting and other amenities
  • Coordinating any event or space planning such as team moves and meeting and conference room configuration
  • Taking responsibility for health and safety matters and making sure policies and procedures are adhered to and training the team on such policies and service delivery standards
  • Ensuring the firm has an appropriate number of DSE assessors, first aiders and fire wardens, organising training as and when required
  • Maintaining accurate records and contracts for suppliers and contractors; reviewing and monitoring agreements/ service to ensure they are competitive and fit for purpose
  • Providing the CFOO with monthly facilities report and ad hoc reports as required
  • Participation and support in project work as required
  • Any other duties of a similar nature, deemed reasonably necessary, by the firm
